Business
Job Purpose
To handle daily front desk Terminal activities with proper coordination of the process with operations, customers as well as handle logistics pertaining to documentation, customs clearance or export/import bill of lading and transportation. The job involves high degree of coordination, punctuality and moreover accuracy in entering or recording data in the system in order to ensure trouble free customer services and receipt/ dispatch of products.
Principal Accountabilities
1.Coordinate &execute dispatch of products as per Terminal Customers instruction
2.Enter product release orders in the inventory system as per Customers instruction.
3.Monitor & release drumming requirements, executing in the inventory system upon receipt and confirmation from Customer.
4.Maintain dispatched files, customs related files with supporting doc. For future Customer & operations requirement for future queries.
5.Provide monthly product reports to customers after reconciliation of all deliveries and receipts during month after internal team confirmation.
6.Monitoring daily tank variance with the reconciliation of day to day dispatched entries.
7.Coordinates advice for preparation of customs documentation with C&F department as well as customer's import/export of products as per Customer requirements, as and when needed.
8.Executing daily drumming schedule, blending, Bulk loading, Decanting & loading schedule as per Customer delivery on priority basis & product availability.
9.Provide support for inventory system to change product code, tank changes & other required system changes.
10.Weighbridge operation support and monitoring the usage for better revenue l l . Co-ordinating for ordering of drums, pallets, Labels, Water, Diesel, tankers for customers and coordinating with transport companies as per client requirement.
12.Label Printing activity to be monitored for better usage and increased revenue for the Terminal
13.Provide Administration support as and when required
14.Support Planning Manager for forecasting Customer activities on weekly/monthly basis Interface with finance, administration and operations departments as well as coordinate with clients to supports specific services.
15.Communications and Working Relationships
Internally,
Need to work very closely with operations department to support client services and other sections of the company in general.
Externally,
The job holder is the direct contract point of the company for client services and therefore need to maintain good relationship with all clients as well as vendors and suppliers for procurement of materials and other services.
16.Problem Solving / Complexity
Good numeric skills required. Quick analytic ability to respond to various customs related documentation
Additional Principal Accountabilities
Experience
Education: high school/diploma/degree in commerce
Experience:
1.Minimum 10 year experience in handling logistical operations, preferably within oil and gas.
2.To be fully conversant with customs regulations/documentation and general codes relevant to export and import of products.
3.Need to be aware of the general transport regulations and rules applicable in particular to movements of hazardous products.
Computer skills: Good computer skills and ability to develop spreadsheets.
Language & writing skills: Good skills in English both in writing and verbal
